Payment policy

All prices are in Icelandic Krona. Products are guaranteed after full payment has been made. All refunds are made in Icelandic Krona. If the exchange rate has fluctuated between the time of purchase and when the refund is issued this might result in either an increase or decrease in the total amount refunded in your local currency.

Weather conditions & safety policy

All our tours and outdoor activities are highly dependent on weather and natural conditions. At Ice Pic Journeys, your safety is our top priority.

In the event of an Orange Weather Alert, we will contact our clients at least 48 hours in advance. If we determine that the alert may escalate to a Red Alert, we reserve the right to cancel the tour to ensure everyone’s safety. If a tour is canceled due to severe weather or unsafe conditions, a full refund will be provided.

Please note, Icelandic weather can be extremely unpredictable and dangerous. During severe alerts, travel can be life-threatening. This includes hiking, glacier visits, or being near the sea and beaches. Attempting to travel during extreme weather can result in significant damage, rescue costs, or even loss of life.

If a client is late or fails to show up for a tour — even if the weather is bad but the tour is still operable — no refund will be issued. Ice Pic Journeys reserves the right to modify routes, itineraries, departure times, or cancel trips without prior notice if necessary for safety reasons.

Cancellations

Ice Pic Journeys reserves the right to always keep a 10% payment fee to cover costs for the booking & rescheduling.

If you must reschedule or cancel the booking, please provide us with 48-hour notice. This way we might be able to resell the seats.

Cancellations received less than 48 hours before tour departure, will not be refunded. This includes bookings made within 48 hours before departure. This includes no refunds for extras, add on’s, and rentals as well. 

If clients cancel their tour more than 48 hours before departure, a 90% refund will be given.

“No Shows” will not be refunded or rebooked.

Ice Pic Journeys reserves the right to cancel your trip with your safety in mind. The tours can be cancelled due to safety reasons or other natural conditions, on short notice. In such cases, a 100% refund is provided.

Late arrivals

If you arrive later than 10 minutes after your tour start time you will be considered a “No Show” and will not be refunded or rebooked.

Participation

Participants must be in reasonably good health to embark on the tour they have booked. People with conditions such as serious high blood pressure, seizure disorders, pulmonary problems (including severe asthma), coronary disease, muscle-skeletal problems, back/neck/shoulder pain, problems with balance, some psychological (ex: panic to altitudes) and psychiatric problems should avoid booking and going on our glacier zip line experience. The Iceland Glacier Zip Line tour is not recommended for persons who are pregnant. 

Furthermore, if at any point during your scheduled tour you choose to not participate in the activity, Ice Pic Journeys cannot and will not be held responsible for providing a full or partial refund. Please also be aware, if you have booked an open / public tour and have decided at any point, that you no longer want to participate, you will be asked to wait at a designated point to wait for the rest of the group to complete the activity. In booking the tour, it is assumed that you and all parties involved have read and understand the tour description and expectations. Ice Pic Journeys will not be liable for any missed opportunities for photos if you or anyone in your group chooses to not participate in any part of the adventure.

Children (under 18)

Our standard age requirement for Ice Cave tours is 8 years old. For Glacier Hikes and the Glacier Zipline, the minimum age is 10 during the winter and 8 during the summer. For Private Ice Climbing tours, the minimum age is 10. We can occasionally make exceptions on a case-by-case basis for private tours.

Note:

  • All persons under 18 must be accompanied by an adult.
  • Unless otherwise prearranged the adults need to provide their own car seat. Per Icelandic LAW: Children under 135 cm must use a child car seat when travelling in a car. Taller children are free to use car seats as long as the car seat is intended for children of that height and weight. Children under 150 cm must not sit in front of an active airbag. To find out more visit Island.is. Please arrive early ready with your car/booster seat to install in our 4×4 vehicle to avoid delays to your tour.
  • IMPORTANT: Additionally, we also require parents to ensure their children are under control, calm, and listen to our guides directions at all times. If children cannot be controlled Ice Pic Journeys Guide reserves the right to end the tour with no further obligation for photos or a partial / full refund. This is due to safety concerns and liability requirements.

Multi-day tour term

A 50% reservation payment (note: 10% of it is non-refundable) is required to confirm your multi-day tour. The remaining 50% payment is due 60 days before via IPJ payment link.

Multi-day tour cancellations

  • Hotel Costs are subject to 50% cancellation fee of room rates if cancelled 60 days or less.
  • Hotel Costs are subject to 100% cancellation fee of room rates if cancelled 30 days or less.
  • 7 day or less will not be given a refund under any circumstances.
  • Cancellations must be confirmed in writing.

Travel insurance

We recommend all our guests to have insurance. Each guest should buy trip or holiday cancellation insurance in addition to medical, personal and travel insurance.

Liability

The tours are undertaken at the participant’s own risk. Ice Journey holds no responsibility towards them if an accident occurs during a tour that can be traced to their own actions, actions of other participants on the tour or factors outside of human control.

Clothing

All guests should wear appropriate footwear and outdoor clothing. We reserve the right to refuse participation to customers who are dressed inappropriately or with inappropriate footwear since this will put the client’s well-being and safety at risk.

Model Release

In booking and taking Ice Pic Journeys adventure tours, you acknowledge and agree to the following:

For valuable consideration received, you grant Ice Pic Journeys (“Photographer”) the absolute and irrevocable right to use, reuse, publish, and republish any photographs taken of you, whether individually or with others, in whole or in part, in any and all media now known or later developed, including the internet. This includes use for purposes such as illustration, promotion, art, editorial, advertising, and trade, with no restrictions on alteration or modification.

You hereby release and discharge Ice Pic Journeys from any and all claims and demands arising out of or in connection with the use of the photographs, including, without limitation, any claims for libel, invasion of privacy, or violation of the right of publicity. This authorization and release shall extend to the benefit of the Photographer’s and Ice Pic Journeys’ heirs, legal representatives, licensees, assigns, and any person or entity for whom the photographs were taken. You affirm that you are a legally competent adult and have the full legal right to enter into this agreement in your own name.

You have read this document and fully understand its contents. This release shall be binding upon you and your heirs, legal representatives, and assigns.

Disclaimer About Photos

Images seen on our social media accounts or website are not exact representations of what you will receive as deliverables. Additionally, Ice Pic Journeys cannot guarantee that specific poses will be taken during the tour as light, photographer style and angles, weather, colors of clothing, and willingness of subjects always vary. The images on our website are examples of what you could receive in regards to editing style and example poses.  

However, if you have a pose specifically in mind, you need to make it known to your guide or email us in advance.  Also be aware that glaciers and ice caves are within an ever changing environment so recreating exact images may not be possible. IPJ cannot be held responsible and by reading through these Terms and Conditions and booking the tour, you acknowledge this.

Furthermore, our IPJ Editor selects and edits the photo package based on what we feel are the best shots from the day.  If additional edited photos are available outside of the package count they may be available for 1,000 ISK per but not guaranteed. Be aware that if there is a request to have specific photos from the day, advance notice via email is required before the editing process begins.

Ice Pic Journeys does not provide the RAWS / unedited photos of any session or tour.

Photo Package Turnaround Time

Photo packages are typically delivered within 14 days, though editing times may occasionally be shorter or longer. This timeframe reflects our average turnaround.

Additional Notes

Please note that our tour times are approximate. We recommend allowing an extra hour at the end of your tour, as delays may occur due to changing daily conditions. Ice Pic Journeys cannot be held responsible for late returns caused by weather, trail conditions, or other unforeseen circumstances.

Digital Gift Cards

Ice Pic Journeys Digital Gift Cards are electronic prepaid vouchers redeemable toward eligible Ice Pic Journeys tours, activities, and services.

Digital Gift Cards are considered delivered once issued electronically and made available to the purchaser or recipient. All Digital Gift Card sales are final and non-refundable once issued, except where required by law.

Gift cards cannot be exchanged for cash and may be redeemed in one or multiple transactions until the available balance is used. Any booking made with a Digital Gift Card is subject to our standard booking, cancellation, and refund terms.

Ice Pic Journeys is not responsible for lost, stolen, shared, deleted, or unauthorized use of Digital Gift Cards after delivery.
